The Max-Planck-Gesellschaft zur Förderung der Wissenschaften e.V. (MPG) takes the protection of your personal data very seriously. The data you entrust to us will neither be published nor passed on to third parties without authorization. In the following we inform you about data collection and data processing in the context of public relations work by the Max Planck Institute for Biological Intelligence.

1. Purpose of data collection and processing

The personal data provided by you will be stored and processed exclusively in the context of public events of the Institute and for the dispatch of information material, the newsletter, press releases or seminar and event announcements by the Max Planck Institute for Biological Intelligence.

You can subscribe to a free newsletter via our website. When you register for the newsletter, we need your e-mail address, surname and first name. We inform you about the specific processing of the data during the registration process and will obtain your consent. Reference is also made to this data protection policy and the one for the Institute's website. The data will be used exclusively for distributing the newsletter.

Should we make film and/or audio recordings as part of an event, you will be informed of this fact in a clearly visible place. Of course, we also respect your personal rights in such recordings and would only place you at the center of a recording with your consent. The recordings are used for internal documentation and, in individual cases, for communication as part of the Institute's public relations work on websites, printed materials and social media. If you do not wish to be filmed or photographed, please contact our photographers directly so that such photographs can be avoided or deleted.

2. Legal basis of data processing

The legal basis for the processing of data after registration for the newsletter by users is the consent of users in accordance with Art. 6 para. 1 lit. a GDPR. The purpose of collecting data is to send the newsletter.

If photos or video recordings with a recognizable group character are made at the event for the purpose of documenting the event and these are used as part of our public relations work, our legitimate interest lies in data processing in accordance with Art. 6 para. 1 lit. f GDPR. Consequently, participants can object to this at any time.

3. Data deletion and storage duration

The data will be deleted as soon as it is no longer required to achieve the purpose for which it was collected. The e-mail addresses of users are therefore stored for as long as the subscription to the newsletter is active. The subscription to the newsletter can be canceled by the users concerned at any time via the link contained in the footer of each newsletter.

Aquired photo and video material is stored in an archive to document the history of the Institute. Photos and video recordings will be deleted if you withdraw your consent or object to the processing of the recordings. In the event of an objection, we will examine the situation and either discontinue or adapt the data processing or explain to you our compelling reasons worthy of protection on the basis of which we will continue the processing. Photographs or video recordings that are not suitable for publication or usable for us will be deleted immediately after recording.

4. Recipient of the data 

Personal data that you provide to us about yourself will only be processed by the Max Plack Institute for Biological Intelligence. It will not be passed on to third parties.

When publishing photo or video material on the Internet / social media, there are risks such as search engines being able to find it, the fact that it cannot be completely deleted from the Internet, the misuse of third parties and the lack of legal protection in the event of misuse of the image material outside the EU. Before such use, we therefore check the given basis for use and the protection of your personal rights once again.

As an individual whose personal data are gathered as part of the aforementioned services, you have, in principle, the following rights, to the extent that no legal exceptions are applicable in individual cases:
